Training Program Assistant - Development (Training & Capacity Strengthening Department)

We are seeking an Training Program Assistant – Development for 2-year-regular position (renewable) to work within the Training & Capacity Strengthening Department at the International Vaccine Institute in Seoul, Korea. (Duty station: Seoul, Korea)
Job Description
This job is responsible for supporting the development and coordination of IVI’s training and capacity-strengthening programs within the Training & Capacity Strengthening (TCS) team. The role provides administrative support for training program delivery, assists with preparation of training materials and learning resources, supports online learning platforms, and contributes to coordination of training activities under the Global Training Hub for Biomanufacturing (GTH-B) and other training initiatives.
Key Roles & Responsibilities
1. Training Program Coordination Support
- Provide administrative and operational support for planning and implementation of training programs and workshops.
- Assist in coordinating training schedules, participant registrations, and preparation of training materials.
- Support organization of training sessions, including venue preparation, participant logistics, and learning resources.
2. Training Materials and Learning Resource Preparation
- Assist in organizing training materials such as presentations, handouts, training manuals, and practical exercises.
- Support formatting and compilation of course materials and learning resources for training participants.
- Maintain organized repositories of training materials and course documentation.
3. Online Learning Platform and Virtual Training Support
- Assist in managing online learning content on the IVI Online Campus and other digital learning platforms.
- Support the organization and technical preparation of virtual and hybrid training sessions.
- Assist in uploading learning materials, managing course content, and supporting participant access to online resources.
4. Coordination with Trainers and Training Partners
- Assist in coordinating communication with IVI faculty, trainers, and external experts involved in training programs.
- Support preparation of training agendas, session schedules, and supporting documents.
- Assist in coordinating logistics for partner-led sessions and collaborative training activities.
5. Training Monitoring and Documentation Support
- Assist in administering training evaluations, participant surveys, and learning assessments.
- Support collection and organization of training feedback and evaluation data.
- Assist in preparing training summaries, documentation, and internal reports.
6. Stakeholder Communication Support
- Assist in preparing training announcements, participant information packages, and communication materials.
- Support dissemination of training information to participants and partners.
- Maintain records of training participants and program documentation.
7. Meeting Coordination and Documentation
- Arrange and coordinate internal and external meetings related to training program development and implementation.
- Prepare and circulate meeting agendas, background materials, and supporting documents.
- Take and prepare meeting minutes and action summaries and share them with relevant stakeholders. Maintain records of meetings and track follow-up actions and progress on agreed action items.
8. Others
- Provide support to other IVI Training & Capacity Strengthening team’s training program as team required
Job Requirements and Qualifications
1. Education Requirements
- A Bachelor’s degree in administration, science or business-related field
2. Related Field Work Experience
- Bachelor’s degree & 0 years of experience in related field: education, administration, planning, public health or project management
3. Technical and Professional Skills / Knowledge
- Excellent skills in Microsoft Office and Hancom Office
- Excellent communication skills in dealing with senior external contacts
