Mission Description
Job Purpose:
The Durban Operations Coordinator is responsible for coordinating, monitoring, and facilitating the efficient loading and offloading of company vehicles in Durban. The role serves as the primary link between drivers, loading/offloading points, and the central operational teams, ensuring minimal delays, clear communication, and accurate real-time reporting.
This position plays a key role in reducing turnaround times, preventing bottlenecks, and escalating operational risks before they impact service delivery.
Job Function:
Operational Coordination
• Coordinate all vehicle arrivals, loading, offloading, and dispatch activities in Durban.
• Act as the single point of contact between:
o Drivers
o Loading and offloading facilities
o Central operational/control room teams
• Ensure drivers report arrival, loading start, loading completion, and departure times accurately.

Driver Liaison
• Maintain constant communication with drivers regarding:
o Queue positions
o Expected waiting times
o Slot bookings and site requirements
o Documentation readiness
• Provide drivers with clear instructions to avoid unnecessary delays or site rejections.
• Escalate driver issues (site access, delays, disputes, fatigue, safety concerns) immediately.
Loading & Offloading Management
• Confirm that:
o Vehicles are loaded/offloaded as per instructions
o Cargo quantities and conditions are correct
o Seals, documentation, and compliance requirements are adhered to
• Liaise with site personnel to prioritise vehicles where possible.
• Identify and report causes of delays (e.g. congestion, labour shortages, equipment issues).
Operational Reporting
• Capture and report:
o Actual turnaround times
o Delays and reasons for delays
o Deviations from planned schedules
• Provide daily updates to the operations team on vehicle status.
• Support KPI tracking by supplying accurate on-ground data.
Profile
Risk & Compliance
• Monitor for operational risks including:
o Extended idle times
o Unsafe conditions
o Documentation or compliance gaps
• Ensure drivers comply with site rules, safety protocols, and company SOPs.
• Escalate any incidents, near misses, or security concerns immediately.
Continuous Improvement
• Identify recurring operational issues at Durban sites and propose improvements.
• Assist in refining Durban-specific SOPs for loading and offloading.
• Build strong working relationships with key Durban stakeholders.
Minimum Requirements
• 3–5 years' experience in transport, logistics, fleet, or port-related operations
• Strong understanding of loading/offloading processes
• Experience working with drivers and operational teams
• Excellent communication and coordination skills
• Ability to work under pressure and manage multiple vehicles simultaneously
• Basic reporting and record-keeping skills (WhatsApp, Excel, operational systems)
