👀 Sound good? We are looking for you!

We are searching for someone with a background in Operations Management, Business Administration, or Educational Services Leadership who, reporting to Mariano Pontón, will be responsible for professionalising, streamlining, and leading the administrative, operational, and general services of Imagine Montessori School to ensure an efficient, safe, digitally transformed, and family-centric environment.

💪🏼 What will your day-to-day look like as a Head of Administration & School Operations at Imagine?

  • Leading Digital Transformation & Administrative Systems: Oversee the school management software ecosystem (Phidias/student info, billing, transport, communications) to simplify workflows, automate repetitive tasks (leveraging AI tools), eliminate redundancies, and ensure data consistency across all administrative operations.

  • Elevating Family Experience & Touchpoints: Establish service standards and clear protocols for reception, secretarial services, enrolment, billing, transport, and operational communications. Manage collections and sensitive debt follow-ups professionally and constructively while ensuring families receive timely and high-quality support.

  • Supporting Academic Operations & School Logistics: Coordinate non-academic logistics for field trips, excursions, events, transport, medical permissions, photo consents, and school material distribution, working hand-in-hand with teaching teams and stage heads to keep daily school activities running seamlessly.

  • Leading Support Teams & Overseeing General Services: Lead and develop the administration team, secretarial staff, back-office, billing, transport, and the Head of Procurement and General Services. Manage external suppliers for key outsourced services (catering, cleaning, facilities maintenance) and ensure compliance with food safety, health & safety, GDPR, and educational regulations.

  • Budgeting, Compliance & School Leadership: Plan and monitor the operational budget, manage billing processes, process grants/subsidies (energy, training, scholarships), lead legal compliance, and sit on the Leadership Team to align operational strategy with the school’s academic mission.

🔑 What will make you succeed in this position?

  • Solid Professional Experience: Significant background leading operations, administration, or general services (ideally in an educational, international school, or high-touch service environment) with direct experience managing teams, budgets, and external vendors/contracts.

  • Educational Background & Hard Skills: A degree or higher qualification in Business Administration, Management, Operations, or related fields. Strong financial acumen (budgeting, billing, collections) and experience in process standardisation and change management.

  • Digital & AI Fluency: Advanced proficiency in Google Workspace (especially Google Sheets) and administrative management software ecosystems, paired with a strong interest in automation and applying AI tools to optimise operational workflows.

  • Regulatory & Legal Knowledge: Familiarity with data protection (GDPR), occupational health and safety, food hygiene standards, insurance management, and regional education regulations.

  • Strategic Soft Skills & Leadership: Exceptional leadership and team development skills, a structured process-oriented mindset, outstanding communication and conflict-resolution abilities (especially when handling sensitive family or legal matters), and a collaborative approach to sit on the school's Leadership Team.
