Position Summary
We are seeking a detail-oriented and proactive Executive Project Coordinator to provide strategic project management and cross-functional execution support. This role is essential in translating the Executive Advisor’s and CEO’s strategic directives into actionable projects, enhancing implementation capacity across departments, and maintaining strong operational alignment with Masaka Creamery’s strategic goals. The successful candidate will demonstrate initiative, critical thinking, and operational discipline, with strong organizational and communication skills.
Key Responsibilities
- Strategic Project Coordination:
- Drive and coordinate key strategic projects led by or involving the Executive Advisor to the CEO or assigned by the CEO, ensuring alignment with organizational goals.
- Develop and track project timelines, deliverables, and KPIs with clear accountability frameworks.
- Support interdepartmental initiatives and ensure timely progress across functions.
- Cross-Functional Execution Support:
- Work as an operational link between the Executive Advisor and department heads to ensure clarity on goals, roles, and expectations.
- Identify bottlenecks, facilitate alignment, and monitor implementation progress on high-priority projects.
- Document outcomes, lessons learned, and improvement opportunities.
- Executive Workflow Optimization:
- Streamline information flow and decision-making processes for the Executive Advisor.
- Prioritize tasks, agendas, and action items with clarity on next steps and ownership.
- Maintain systems to ensure strategic priorities are consistently addressed and followed through.
- Meeting & Reporting Management:
- Coordinate preparation and documentation for executive meetings, stakeholder engagements, and strategy sessions.
- Draft clear summaries, action plans, and progress reports for review and circulation.
- Manage key follow-ups and hold teams accountable to commitments.
- Stakeholder and Event Coordination:
- Plan and coordinate special initiatives, visits, and corporate events in collaboration with internal and external stakeholders.
- Support professional communication with board members, donors, and partners as needed.
- Process Improvement & Systems Building:
- ● Assist in developing SOPs, operational dashboards, and tracking systems to improve cross-departmental efficiency.
- Recommend and support implementation of scalable systems to foster collaboration and data-informed decision-making.
- Culture and Values Alignment:
- Serve as a cultural ambassador of Masaka Creamery’s values of Integrity, Dignity, Excellence, and Turi Kumwe.
- Model professionalism and inclusion in every interaction, representing the Executive Advisor, CEO, and company with integrity.
Work Expectations & Communication
- Work Hours: Full-time position based in Kigali with availability during core hours and occasional flexibility for urgent needs. Works with and when the Executive Advisor or CEO requires support.
- Responsiveness: Must be accessible and responsive to support fast-paced leadership requirements.
- Communication: Must demonstrate strong written and verbal communication skills internally and externally. Must be available to quickly respond on the phone when needed.
- Confidentiality: Must handle sensitive information with discretion and uphold the highest ethical standards.
- Reporting: Candidates will report to the Executive Advisor to the CEO and may be assigned specific tasks or projects directly by the CEO. The role involves working collaboratively with other department heads and team members.
Preferred Qualifications
- Bachelor’s degree in Project Management, Business Administration, or related field (Master’s preferred).
- 3–5+ years of experience in project coordination, operations, or executive support—ideally in a fast-paced, mission-driven setting.
- Demonstrated project management experience and a proactive, solutions-oriented mindset.
- Proficiency with Google Workspace, Microsoft Office, and project management tools.
- High emotional intelligence and ability to work collaboratively across teams.
- Fluency in English (Kinyarwanda and/or French a plus).
Compensation & Benefits
- Compensation: 400,000 Rwf
- Paid Leave: Based on working schedule
- Travel: Candidate will work primarily from the company’s offices at Plot G5, Kigali Special Economic Zone, Kigali, Rwanda
- Duration: Seeking a minimum initial commit of 1 year

- Expenses: Candidate shall be reimbursed for business related airtime, transportation and other authorized business expenses
