The Manager / Senior Manager – Human Resources leads the day-to-day delivery of HR operations for a geographically dispersed workforce across India, ensuring that HR services are compliant, timely, accurate, and employee-centric. The role is the operational engine of the HR function: it runs the employee lifecycle, administers statutory compliance, and maintains HR systems and records so that the Director – HR & Administration is freed to focus on the organisation’s strategic HR transformation agenda.Reporting to and working under the direction of the Director – HR & Administration, the incumbent translates HR strategy and policy into consistent, well-executed practice on the ground. The role suits a hands-on, service-oriented, and detail-driven HR professional who takes ownership of operational delivery, applies sound judgment on routine matters, and escalates sensitive or policy-level issues appropriately.
Responsibilities
HR Operations & Employee Lifecycle Delivery
- Run end-to-end HR operations across the employee lifecycle — recruitment coordination, offer and appointment issuance, onboarding, confirmations, transfers, contract renewals, and separations — ensuring accurate and timely execution.
- Prepare and issue all employment documentation (offer, appointment, confirmation, revision, and relieving letters) in line with organisational policy and templates.
- Maintain and continuously improve standard operating procedures for HR service delivery, ensuring consistency across the Country Office and State Offices.
Statutory & Policy Compliance — Execution
- Administer full compliance with applicable Indian labour laws and statutory obligations (PF, ESI, gratuity, professional tax, POSH, and related filings), maintaining all statutory registers and records in audit-ready condition.
- Apply HR policies and donor requirements consistently and accurately across the workforce; refer interpretation, exceptions, and policy revision to the Director.
- Support internal, statutory, and donor audits by preparing HR documentation, responding to queries, and closing action points within agreed timelines.
HRIS, Records & HR MIS
- Operate and maintain the HRIS and personnel records as the single source of truth, safeguarding data accuracy, completeness, and confidentiality.
- Generate periodic HR dashboards and MIS — headcount, attrition, leave, hiring status, and compliance trackers — to support the Director’s decision-making and reporting obligations.
- Ensure timely and accurate HR data inputs for organisational, donor, and HQ reporting requirements.
Payroll Inputs, Benefits & Attendance Administration
- Administer leave and attendance and prepare accurate monthly payroll inputs in coordination with Finance.
- Administer employee benefits and insurance (medical, group, and statutory), including enrolments, claims coordination, and renewals.
Employee Query Resolution & First-Line Support
- Serve as the first point of contact for staff on HR matters, resolving routine queries promptly while maintaining a positive employee experience.
- Handle employee information and sensitive matters with fairness, objectivity, and strict confidentiality; escalate employee-relations, grievance, and disciplinary matters to the Director for direction.
State & Field Office HR Coordination
- Coordinate consistent HR service delivery to State and field offices, supporting HR focal points and ensuring uniform application of policy and process across locations.
- Track and resolve location-specific HR operational issues, escalating those requiring policy or leadership attention.
Implementation Support to HR Transformation
- Provide execution and implementation support to the HR transformation, digitisation, and process-improvement initiatives led by the Director — including rolling out new systems, SOPs, and policies, and embedding them into day-to-day operations.
- Identify and surface operational pain points and improvement opportunities from frontline delivery to inform the Director’s strategic priorities.

Functional Expertise
- Strong, hands-on command of HR operations, employee lifecycle management, and HR service delivery.
- Working knowledge of Indian labour laws and statutory compliance, with demonstrated ability to administer them accurately.
- Proficiency in operating HRIS/HRMS platforms and producing HR MIS and dashboards from workforce data.
- Experience delivering HR services to a multi-location, geographically dispersed workforce.

Required Qualifications
- Bachelor’s degree required; Master’s degree or postgraduate qualification in Human Resources, Personnel Management, Social Work, or Business Administration preferred.
- Manager: 9 +years / Senior Manager: 10–15 years of progressive HR experience, with substantial hands-on ownership of HR operations and compliance.
- Demonstrated experience supporting a pan-India or multi-location workforce.
- Hands-on experience with HRIS/HRMS platforms and statutory compliance administration.
- Experience in NGOs, INGOs, public health, healthcare, development, research, or social-impact organisations preferred.
