We are looking for an Executive Assistant for a multi-billion-dollar Nordic family office, with a longstanding focus on frontier AI and effective impact.
You will work directly with the CEO and principal on a daily basis, managing their communications and travel, doing research, preparing documents, and generally supporting their work in building and running the family office. This is an early hire for a small, growing team, and the right person will have a high level of access to, and influence on, the direction of the organization. We are looking for someone who sees executive assistance as a craft, not a stepping stone, and who is willing to stay in this role and grow with it for the medium to long term.
You might be an experienced executive assistant looking for a long-term home at an ambitious organization. Or you might be someone earlier in your career, out of consulting, a startup, or another high-intensity generalist role. We care less about which path you come from and more about whether you are organized, proactive, and excited about the work.
This is a full-time position based in Stockholm, Sweden.
The family office and role at a glance
We are a small, entrepreneurial family office early in a phase of active professionalization. While we hold a diversified portfolio, the main focus is on AI. We are long-term holders of major positions across top-tier AI labs and seed funders of several companies in AI security and assurance. We have high conviction in continued strong AI progress and expect to see generally capable agentic systems within this decade. This belief, combined with an active deal flow and a world-class network in AI, shapes our investments.
We have a strong focus on impact, and approach our grantmaking with the same level of rigor and ambition as we do our investing. The family office hosts two foundations, with combined endowments above 1 billion SEK. Most grants go to safe and beneficial AI, global health, and talent development.
Acting on a thesis like this requires operational infrastructure that does not yet exist. You will support the CEO and principal in building and running it, by managing their day-to-day work and helping them to be as effective as possible.
What you will do
Support the CEO
Your main task will be to enable the CEO to be as effective at his job as he can be. You will be the person who makes sure that he is prepared, informed, and unblocked. Concretely, that means:

Meeting preparation and follow-up: preparing briefing docs, background materials, agendas, tracking action items after stakeholder meetings, etc.

Communications management: drafting and managing correspondence, filtering inbound requests, flagging what needs attention, handling routine responses, etc.

Scheduling and logistics: managing calendars across time zones, arranging travel, coordinating meetings with stakeholders, etc.

Document management: maintaining an organized system for legal documents, signing authorities, corporate filings, and investment agreements across multiple entities and jurisdictions.

General support: supporting on ad-hoc projects and requests as they arise, incl. desk research, creating first drafts, providing document feedback, and making sure nothing falls through the cracks.
Support the principal
You will regularly engage with the family office principal, providing reliable, discreet support for personal and logistical needs, such as travel coordination, event logistics, and back-office support. Expect this to take around one day in a typical week. A good share of it is deliberately unglamorous, from settling invoices to chasing paperwork, and you should be comfortable with that. This responsibility might grow over time and take precedence over supporting the CEO.
Support across the team
We are a small team scaling a family office with significant resources. You will play a vital role in this by supporting across various tasks and filling in as needed. This will include things such as setting up the office, onboarding new service providers, or helping prepare materials for a board meeting.
As the role develops
As you learn the organization and build trust, there is natural room to take on more and higher-responsibility tasks. The exact nature will depend on your skills and preferences but could include, for example, coordinating service provider transitions, supporting hiring processes, and helping with foundation operations. How far the role expands is up to you.
What we are looking for
Must-haves

3+ years of experience in executive support or a similar role where you managed complex scheduling, communications, and logistics for senior leaders, or equivalent experience running several workstreams at once in another fast-paced setting

Highly organized and reliable: you are the kind of person who does not drop things

Comfortable with ambiguity and messy tasks: priorities shift, plans change, and you adapt without friction

High agency: you figure out what needs to happen and do it without waiting for instructions

Strong written and verbal communication in both Swedish and English

Discretion and judgment with sensitive personal, financial, and legal information

Based in Sweden or willing to relocate
Nice-to-haves

Experience in family offices, wealth management, or philanthropic foundations

Experience with event coordination and travel logistics

Proficiency with and solid judgment about AI tools: we use them heavily and expect the same from you

Interest in AI and technology: the portfolio has significant AI exposure, and understanding the landscape is valuable

Interest in effective philanthropy and impact

Comfort with financial and legal documents (shareholder agreements, board resolutions, financial statements, etc.)
Location, compensation, and benefits
Location
Stockholm, Sweden. Expect occasional travel for team retreats, principal meetings, and events.
Compensation
Salary: SEK 45 000 - 70 000 per month, depending on experience. The range is wide because we are open both to an experienced assistant and to someone earlier in their career. If the salary range is a concern, please reach out to discuss.
