About the role
Following our continued growth across the US and Europe, we are looking for a welcoming, proactive, and organized Office Assistant to join our Austin office, reporting to the Office Manager.
You will serve as the face of our office and the primary point of contact for daily front-desk operations, logistics, and guest hospitality. From welcoming visitors and managing supplies to supporting onboarding, internal events, and health and safety checks, you'll keep our day-to-day office environment organised, fully stocked, and safe.

Key Responsibilities
Office Operations & Logistics
- Welcome Visitors & Guests: Serve as the primary point of contact for everyone arriving at the office, ensuring a clean, organised, and professional reception area.
- Own Office Procurement: Handle purchasing of office supplies, snacks, and beverages, keeping common areas and kitchen stations always well-stocked.
- Manage Mail & Shipments: Handle incoming mail and packages, notify recipients promptly, and coordinate outgoing shipments and couriers.
- Maintain Merch Inventory: Keep company merchandise organised in storage and distribute branded items for new hires, events, and external guests.
- Monitor the Office Environment: Conduct daily checks and report facility maintenance issues or repairs to the Office Manager or building management.
Team Support & People Ops Assistance
- Support Onboarding Logistics: Assist the HR team with the physical side of onboarding — setting up desks, preparing welcome packs with swag, and organising access badges.
- Bring Team Events to Life: Support internal team events, lunches, and celebrations by handling logistics, catering orders, and space setup and cleanup.
- Host International Colleagues: Assist visiting international team members and guests with on-site needs during their office visits.
Administrative Support
- Keep Records Accurate: Assist with basic record keeping across office operations.
- Track Visitors & Access: Maintain accurate visitor logs and access badge tracking for front-desk control.
- Provide Ad-hoc Support: Offer general administrative support to the local team as needed.
Health, Safety & Environment
- Run Daily Safety Walkthroughs: Ensure fire exits, walkways, and emergency exits remain completely clear of clutter and safety hazards.
- Maintain Emergency Supplies: Inspect and restock first-aid kits and emergency stations across the office.
- Act as Local Floor Warden: Assist during building evacuations and fire drills, keeping visitor logs updated for headcount checks.
Requirements
✅ Must-haves
- 1+ years of experience in Reception, Front Desk, Customer Service, or an Office Assistant role.
- Fluent English, written and spoken.
- Strong organisational skills, high attention to detail, and the ability to multitask effectively.
- Comfortable using Google Workspace (Docs, Sheets, Calendar) and Slack.
- High hospitality mindset — warm, welcoming, proactive, and always eager to help team members and guests.
- Based in Austin and able to work on-site in the office daily.
