About the role
We are looking for a proactive and organized Office Administrator to join our Barcelona headquarters. As Biorce continues to scale internationally, we need a "center of gravity" for our physical office—someone who ensures our daily operations run smoothly and our team has everything they need to succeed.
This role is ideal for someone who thrives in a fast-paced environment, loves multi-tasking, and takes pride in creating a welcoming, efficient workplace culture. You will be the face of the office and the go-to person for both local logistics and general administrative support.Key Responsibilities
Office Management & Logistics
- Oversee the daily operations of the Barcelona office, ensuring a clean, organized, and professional environment.
- Manage relationships with office vendors (cleaning services, maintenance, internet providers, and building management).
- Handle procurement of office supplies, snacks, beverages, and equipment, ensuring we are always well-stocked.
- Manage incoming mail, packages, and coordinate outgoing shipments/couriers.
Team Support & People Ops Assistance
- Assist the HR team with the "physical" side of onboarding (setting up desks, preparing welcome packs, and organizing access badges).
- Coordinate internal team events, lunches, and celebrations to foster our company culture.
- Support travel arrangements and booking for leadership and visiting international team members.
Administrative & Financial Support
- Manage office-related invoices and expenses, working closely with the Finance department.
- Assist with basic documentation, scanning, and filing of corporate or legal records.
- Serve as the primary point of contact for visitors and guests arriving at the office.
Health, Safety & Environment
- Ensure the office complies with local health and safety regulations.
- Act as the primary point of contact for any office emergencies or facility issues.
What We’re Looking For
- Experience: 2+ years of experience in Office Administration, Front Desk, or a similar operational role.
- Communication: Fluent in Spanish and English (both are essential for daily interaction with our international team).
- Organization: Exceptional organizational skills and the ability to prioritize tasks in a dynamic startup environment.
- Tech-Savvy: Comfortable using Google Workspace (Docs, Sheets, Calendar) and Slack.
- Mindset: A "no task too small" attitude. You are proactive, solve problems before they escalate, and genuinely enjoy helping others.
- Location: You must be based in Barcelona and able to work from the office daily.
Nice To Have
- Previous experience in a tech startup or scale-up environment.
- Familiarity with Mac systems.
- Basic knowledge of Spanish "Prevención de Riesgos Laborales" (PRL) or office safety standards.
