Position Overview: The Strategic Imperative
We are seeking an exceptional and highly strategic Executive Assistant to serve as the operational backbone and 'front door' to Biorce’s CEO. This role is far beyond typical administration; it requires organizational excellence, a strong business acumen, and an understanding of the biotech/healthcare industry.
The EA will manage complex priorities across key strategic areas, including fundraising, business development, operational leadership, and cross-functional initiatives.
The ideal candidate will combine meticulous attention to detail with proactive anticipation. You must maintain absolute discretion with confidential matters and thrive in an entrepreneurial setting where adaptability and resourcefulness are essential.
Key Responsibilities: Driving CEO Productivity
Executive Time Management & Scheduling
- Master a complex, multi-timezone calendar, managing conflicts across Barcelona, Lisbon, and US-based operations.
- Proactively anticipate scheduling needs and optimize the CEO’s productivity by identifying opportunities to consolidate meetings and time blocks.
- Manage competing priorities with agility and escalate conflicts early.
- Book and coordinate video conferencing, ensuring technical readiness for all virtual meetings.
Global Travel Coordination & Logistics (25–40% Estimated Travel)
- Plan and execute frequent international travel between Spain, Portugal, and the US.
- Arrange flights, accommodations, ground transport, and travel insurance.
- Build comprehensive itineraries including meeting agendas, directions, and essential reservations.
- Manage and compile all travel expenses and reimbursement processes.
- Coordinate travel with board members, investors, and key external stakeholders as needed.
Executive Communication & Liaison
- Serve as a trusted liaison between the CEO, executive team, investors, and external partners.
- Manage the CEO’s email inbox, prioritizing urgent messages and drafting appropriate responses when necessary.
- Handle confidential correspondence with the highest level of discretion and sound judgment.
- Prepare meeting agendas, supporting materials, and decision briefs ahead of executive meetings.
- Draft internal communications and announcements on behalf of the CEO’s office.
Meeting, Event, & Strategic Support
- Coordinate senior leadership team meetings, board presentations, and off-site meetings.
- Prepare for key CEO meetings by gathering background materials, research, and stakeholder context.
- Manage meeting logistics, coordinate note-taking, and track follow-up action items.
- Support fundraising activities including investor meetings, diligence processes, and round planning.
- Assist in strategic initiatives requiring cross-functional coordination and prepare executive briefings on market trends and competitive landscape.
Biotech/Clinical Trial Business Support
- Develop a baseline understanding of clinical trial operations, the regulatory landscape, and the CRO ecosystem.
- Support the CEO in preparing for customer meetings, industry conferences, and sales presentations.
- Maintain awareness of the competitive landscape (Veeva, other CTMS platforms) for executive briefings.
- Support fundraising by organizing investor reference calls and customer testimonials.
Required Qualifications
- Experience: 4–6 years supporting C-level executives in a complex, fast-paced environment (startups or growth-stage companies strongly preferred).
- Organizational Excellence: Proven ability to manage multiple competing priorities simultaneously.
- Tech Proficiency: Expert in Microsoft Office Suite (Outlook, Excel, Word) and Google Workspace (Gmail, Calendar, Docs, Drive).
- Communication: Strong written and verbal communication skills in English (Spanish and/or Portuguese a strong plus).
- Professionalism: Exceptional discretion and professionalism with highly confidential business information.
- Mindset: Proactive problem-solver who anticipates needs and takes initiative with minimal direction.
- Logistics: Comfortable with frequent international travel coordination and logistics planning.
- Detail: High-level attention to detail with the ability to catch errors and inconsistencies.
- Adaptability: Flexibility to changing priorities and business needs in a dynamic setting.
Preferred Qualifications
- Experience in biotech, life sciences, healthcare technology, or SaaS environments.
- Familiarity with clinical trial operations, regulatory processes, or pharmaceutical commercialization.
- Experience supporting fundraising, investor relations, or board management.
- Proficiency with project management tools (Asana, Monday.com, Linear, etc.) and AI tools for productivity (e.g., ChatGPT, Copilot).
- Multilingual abilities (Spanish, Portuguese, English).
